ABOUT THE AUCTION:

What is the auction? 
The annual ASFS auction is a fun night out with fellow ASFS parents, teachers, and staff, and it also raises money for our PTA's many programs and events it supports throughout the school year. Thanks to the generosity of parents' support as part of the No-Frills Fundraiser in the fall, we are able to host a winter auction FOCUSED ON FUN and socializing where parents can bid on great live and online auction items as well as enjoy food, drinks, and music.

What is the theme of the auction?
This year, our auction theme is "In Roaring Twenties Style". 1920s-inspired costumes are encouraged, but not required. ​Come dance to the live band and DJ, play casino games (just for fun), and enjoy other speakeasy surprises. 

What are the auction events?
We are excited to bring you a variety of auction events to allow the whole ASFS community to participate:

Online Auction:  The online auction runs from Friday, February 15th at 12 pm Noon through Saturday, February 23rd at 10 pm and offers spectacular items that have been donated including gift cards, sports tickets, children’s activities, ever-popular sign-on parties, teacher experiences and much more! Even if you cannot attend the auction in person, you can participate in the Online Auction. You just need to register online to receive your bidding number.

Live Auction:  At the auction on February 23rd at Clarendon Ballroom, you can join in a fun night of music, food, and drinks. In addition to the online auction, the main event at the auction will be our ASFS Live Auction where you can bid on exciting items like Principal for a Day, Name the ASFS Driveway, travel and event experiences, and more! Note: Proxy bidding is available for live auction items if you are unable to attend the auction in person.

Children's Raffle: The Children’s Raffle is a free raffle for all ASFS students. Kids will have the opportunity to win toys, books, and even homework passes! This event will be held every morning at ASFS the week before the auction from Tuesday, February 19th through Friday, February 22nd. Raffle tickets and instructions will be sent home in Friday Folders on Friday, February 15th.

When is the auction? 
The 2019 ASFS Auction event is:

Saturday, February 23, 2019
7-11 pm

The online auction runs: 

OPEN: Friday, February 15th at 12 pm
CLOSE: Saturday, February 23rd at 10 pm

Where is it?
Clarendon Ballroom, which is located at 2425 Wilson Blvd, Arlington, VA 22201.  Clarendon Ballroom is located in the heart of the Clarendon, very close to many ASFS families, at the intersection of Wilson Boulevard and Washington Boulevard, right across the street from the Clarendon Metro.

Is parking available?
Parking meters are available nearby. Each meter varies, so please check for duration.

In addition, there are several public garages: 

The Hartford - 3101 Wilson Blvd (after 5pm),  located behind TD Bank

Clarendon Square - 3033 Wilson Blvd (after 4pm), entrance is on Highland Ave.

Market Commons at Clarendon - 2700 Clarendon Blvd, located under Pottery Barn & 1201 N Fillmore St, located behind La Tagliatella (two entrances), 

Does it cost money to attend the auction?
Everyone needs a ticket to attend the auction. However, we hope that our entire ASFS community can join us for a fun night out. Regular ticket prices are $25/person and available online or at the door. This helps to offset the cost of the auction and allows auction proceeds to directly support our school. Tickets include appetizers and entertainment for the evening. If you are not comfortable with the ticket price, we also have a "Pay As You Want" option to set your own ticket price. All ASFS teachers, staff, and VIP guests may register for two free tickets for themselves and a guest using the Promo Code found on their ticket.

Are food and drinks provided at the auction?
This year, tickets will include appetizers and drinks will be available at the cash bar. Please note that this is a post-dinner event, so make sure to eat beforehand!

What should I wear? 
1920s-inspired costumes are encouraged, but not required. Watch The Great Gatsby or Boardwalk Empire for inspiration. Anything goes! Come dressed in whatever you are comfortable in for a fun evening out. 

What will happen when I arrive at the auction?  
When you arrive at Clarendon Ballroom, please proceed to the “check-in” tables. You will receive directions for bidding on your phone and your credit card information will be entered. Your credit card will only be charged if you win any of the auction items or if you buy raffle tickets. Once you are checked-in, grab a drink and peruse the auction displays.

What are Teacher Experiences?
Each year, our amazing ASFS teachers and staff go above and beyond to donate ever-popular teacher experiences that parents can bid on for their ASFS children. Teachers offer their own personal time to provide a special fun experience with your child (and sometimes a friend or two), such as teacher for the day, ice cream or breakfast outings, or even a special project or learning experience. Some families decide in advance to share a teacher experience and will bid together. These are very popular with the students so be sure to bid early and often!

What are "Sign-On" Parties?
Sign-On Parties are a great way to meet new ASFS families and connect with old friends. Each year generous parents agree to host a party for ASFS parents and/or students at their house or another location. Parents can purchase tickets to these parties as part of the online auction - every dollar goes to support our PTA! Act quickly though, as these Sign-On Parties often sell out quickly! If you are interested in hosting a party, please contact Kris Humphrey. These parties can be anything from pool parties and movie nights to girls' night out or whiffle ball tournaments. Any number of families can co-host. You pick the date and set the number of people.

What is the Live Auction? 
Some of our most sought-after items will be part of the Live Auction. The Live Auction will be held during the second half of the event (starting approximately at 9:00 pm). Our Live Auction will be run by an auctioneer. The auctioneer will first provide a description of each item and then start the bidding at the pre-determined minimum bidding price. The live auction will require raising your hand to bid. The auctioneer will declare the winner to the person that has raised their hand at the highest offered price. If you have the winning (highest) bid for one of the Live Auction items, you will receive all of the necessary information on that item during checkout.

What are the Premium Auction Items? 
In addition to the items that will be auctioned off live at the event, we also have some amazing Premium Auction Items that will be highlighted at the event. Bidding for these items will take place online and will end at 10pm.

Where can I view all of the auction items? 
The list of auction items will be available on the 501 Auctions website in February. An auction catalog will be published closer to the event date. 

Is participation in the auctions or raffles mandatory? 
Absolutely not! You can just buy a ticket, show up, eat, drink, socialize, and have a good time with your fellow parents and teachers/staff! This is a community-building event, and we would like for everyone to have a wonderful experience. Our hope is that everyone in the ASFS Community would like to participate or contribute in whatever way and in whatever level works best for their family. 

What happens if I have the winning bid? 
Before you leave, everyone should go to the check-out table. At the table, you will close out any remaining transactions. Any online auction or raffle items present at the auction will be taken the night of the event. If you win an auction item when bidding online in your home, please pick up your winnings by Friday, March 1st. Pick up dates/locations will be available closer to the event date. 

When can I pick up my auction items? 
Most items will be available for pick up at the auction. If you are unable to pick up then, please make sure to pick up all of your auction items by Friday, March 1st.

DONATIONS & HELPING OUT

Can I donate something to the auction?
Of course! We are looking for desirable, unique, and high-quality donations of all sizes and are asking everyone to think through their entire network of family, friends and colleagues - anyone you know that might have access to popular and/or creative auction items. Do you know someone with a vacation home who is willing to donate a week or weekend? Sports tickets? Unique experiences like a behind-the-scenes tour? If you have a business in mind, please check with our Business Donations Lead, Patricia Wilson so we can confirm there are no redundancies. If your family would like to donate an item, please donate online or drop off this form to the ASFS front office by February 1st. Please contact Rebecca Lee with any questions. 

Are the donations tax-deductible? 
Yes, the ASFS PTA is a 501(c)3 non-profit organization, so your donations are tax-deductible (after deducting the value of the good or service that was received for the donation). You can use your family donation form as a receipt for tax purposes. If you need a receipt, please contact Rebecca Lee or Kristi Tsiopanas.

Are you collecting wine donations?
Yes! If you are looking for a quick and easy way to contribute to the auction, each year we auction off a variety of wine packages at the auction. Just drop off a bottle of wine (or a couple of bottles!) at a nearby home. Email Grace Lee or Rebecca Lee in advance, and drop off your wine by Friday, February 1st.

How do I volunteer to help with the auction?
We need lots of volunteers to help make the auction a success!  Email Rabia Oubenadi to help out or volunteer for an hour or two of your time the day of the event. We need help with set-up and clean-up, registration and checkout, as well as hosting various tables at the auction event. Sign up if you can volunteer even an hour or two of your time - thank you for your support! What if I can’t make it but want to support the auction? 
There are many ways to support the auction! In addition to the ways to help above, you can bid online from home. Or even just make a cash donation. We will be very grateful for any contribution that you make.
